Information collected through Academy enrollment, membership registration, waivers, or other Hit Lab services may include:

• Jersey name and number preferences
• Team and Academy enrollment information

3. Payment Information

Online payment processing for CYOJ Hit Lab Academy enrollment and membership services is handled through Stripe.

Families provide payment information directly through Stripe's secure payment interface. CYOJ Hit Lab does not require families to provide full payment card numbers directly to Hit Lab staff through the Academy enrollment website.

CYOJ Hit Lab may receive and retain payment-related information such as a Stripe customer identifier, transaction identifier, payment status, payment amount, billing agreement information, scheduled installment information, and information needed to manage authorized future payments and membership renewal.

4. Waiver Information

Participant waivers may be collected through a third-party form provider, including Jotform.

Information submitted through the waiver process may be used to verify that the appropriate athlete or participant has completed the required waiver before membership activation or participation.

CYOJ Hit Lab may use personal information to:

• Process Academy and team enrollment
• Manage Hit Lab memberships
• Process or reconcile payments
• Schedule authorized Academy installments
• Manage authorized membership renewal
• Match and verify participant waivers
• Activate membership after payment and waiver requirements are satisfied
• Issue and maintain digital membership cards and member numbers

6. Youth Athlete Information

CYOJ Hit Lab programs serve youth athletes. Academy enrollment and membership information for minor athletes is intended to be provided by a parent, legal guardian, or authorized adult.

We use athlete information for legitimate program, team, membership, safety, facility, and administrative purposes associated with participation in CYOJ Hit Lab programs.

7. When Information May Be Shared

CYOJ Hit Lab may share information with service providers when reasonably necessary to operate our programs and systems.

These providers may include payment processors, form and waiver providers, website hosting providers, database and infrastructure providers, email or communication providers, and other technology vendors that support Hit Lab operations.

Information may also be shared with authorized CYOJ Hit Lab staff, coaches, team administrators, or program leaders when reasonably necessary for the athlete's team, membership, or participation.

8. Sale of Personal Information

CYOJ Hit Lab does not sell participant, member, parent, guardian, or Academy enrollment information to advertisers or data brokers.

9. Cookies and Enrollment Sessions

Hit Lab 360 may use cookies or similar browser-based session technology when necessary to maintain an Academy enrollment session, identify the authorized team enrollment process, protect payment workflows, and maintain website functionality.

These technologies may be necessary for portions of the enrollment and payment process to function properly.

10. Digital Membership Cards

Activated members may receive a digital Hit Lab 360 membership card associated with a permanent member number and membership record.

The digital card may display information such as the member's name, member number, membership status, and current membership term.

Members should avoid intentionally sharing their digital membership credential with unauthorized persons.

11. Data Security

CYOJ Hit Lab uses reasonable administrative and technical measures intended to protect information used by Hit Lab systems.

No internet-based system or electronic storage method can guarantee absolute security. Families should contact CYOJ Hit Lab if they believe their account, enrollment information, or digital membership credential has been compromised.

12. Data Retention

CYOJ Hit Lab may retain enrollment, membership, waiver, payment, and program records for as long as reasonably necessary for operational, safety, accounting, legal, dispute-resolution, and recordkeeping purposes.

Information that is no longer reasonably necessary may be deleted, anonymized, or archived consistent with CYOJ Hit Lab's operational and legal obligations.

13. Access, Corrections, and Privacy Requests

Parents, guardians, members, or authorized account holders may contact CYOJ Hit Lab to request correction of inaccurate information or ask questions about personal information associated with their family or membership.
