Academy Terms
& Conditions

These Academy-specific terms apply to CYOJ Hit Lab Academy enrollment and explain team-package pricing, payment obligations, refunds, installments and program administration. They work together with the separate Hit Lab Membership Agreement, Cancellation & Auto-Renewal Policy, Facility Rules and Privacy Policy linked below. The specific team package and payment option shown during a family's private enrollment remain part of the applicable agreement.

1. Academy Enrollment & Team Package

CYOJ Hit Lab Academy enrollment is available to athletes accepted into an applicable Academy team or program. The athlete's assigned team determines the Academy package, package price, payment schedule and included team benefits.

The specific team package and payment option presented during the family's authorized enrollment are the controlling financial terms for that Academy enrollment. A family may not substitute another team package, price, discount or payment schedule unless CYOJ Hit Lab expressly approves the change in writing.

2. Pricing, Promotions & Future Price Changes

Academy, promotional, sibling, team, discounted or other special pricing applies only to the specific offer, program, eligibility category and term stated when the family enrolls.

Unless the applicable written enrollment terms expressly state otherwise, a later price change will not retroactively increase a fixed Academy package price or fixed-price amount already committed for the existing Academy term.

CYOJ Hit Lab may establish different pricing for a future Academy enrollment, future membership renewal, later membership term or future month-to-month period, subject to applicable notice, cancellation rights and law.

3. Academy Fees & Refund Policy

Academy fees are paid in consideration for the athlete's reserved roster position, team planning, tournament and event commitments, coaching, uniforms, training, administration, scheduling, Academy resources and other program obligations undertaken for the applicable team.

Unless otherwise required by law or expressly approved in writing by authorized CYOJ Hit Lab leadership, amounts already paid will not be refunded because of:

• Voluntary withdrawal from the Academy team or program;
• Missed practices, games, tournaments, workouts or team events;
• Changes in playing time, batting order, defensive position, pitching, catching or competitive role;
• Dissatisfaction with coaching, team decisions, practice plans, tournament selection or team operations;
• Schedule changes, rescheduled events or ordinary changes in team operations;
• Suspension or removal resulting from material violations of Academy rules, safety requirements or conduct expectations; or
• The athlete or family deciding not to continue participating.

Choosing a payment plan does not convert the Academy package into a month-to-month program. The payment plan divides the agreed Academy package price into scheduled payments. Subject to applicable law and the written enrollment agreement, withdrawal from participation does not by itself eliminate unpaid Academy installments already owed under the accepted package.

Coaches are not authorized to waive, reduce, forgive, refund or modify Academy fees or payment obligations unless specifically authorized by CYOJ Hit Lab management or authorized leadership of Create Your Own Journey Foundation.

4. Included Hit Lab Membership

The Academy package includes the individual Hit Lab membership term displayed during the family's authorized enrollment. The start date, end date and duration shown for the athlete's team package are part of the accepted agreement and control over a generic program description.

Membership privileges are personal to the enrolled athlete and may not be transferred or shared. Eligibility for reservations, technology, equipment, discounts, member-card access, facility entry and future after-hours access may depend on membership type, payment status, waiver status, reservations, supervision requirements and facility operations.

The included membership and the Academy team fee are related but distinct parts of the Academy enrollment. Cancellation of a membership privilege does not by itself cancel the Academy team agreement or create a refund of Academy team fees, except where applicable law expressly requires otherwise.

5. Automatic Renewal & Membership Cancellation

At the end of the included Academy membership term, if the team package states that membership automatically renews, it continues at the renewal amount and interval shown during enrollment until canceled under the applicable Membership Agreement and Cancellation & Auto-Renewal Policy.

The payment method authorized during Academy checkout may be used for applicable future membership renewal charges beginning on the renewal start date shown during enrollment.

Renewal pricing may change prospectively for a future renewal period with the notice and cancellation rights required by the applicable agreement and law. A future price change does not retroactively change Academy fees or charges already earned.

Membership cancellation requests may be sent to support@cyojhitlab.com.

Cancellation of the future month-to-month Hit Lab membership does not by itself cancel, forgive or refund Academy program fees or Academy installments, except where applicable law requires otherwise.

6. Payment Authorization & Installments

Families selecting an Academy payment plan authorize the initial payment and scheduled future Academy installments shown for the athlete's assigned team and selected payment option.

The authorized payment method may be securely saved through Stripe for scheduled Academy charges and the later membership renewal described in these terms.

If a scheduled payment fails, CYOJ Hit Lab may retry the payment, contact the family and restrict applicable membership, team or facility privileges while an account remains past due, subject to the applicable agreement and law.

7. Academy & Membership Waivers

Academy participation and Hit Lab membership require the applicable CYOJ Hit Lab waiver documentation. The Academy Team Participation waiver, Hit Lab Membership waiver and financial enrollment terms serve different purposes.

Completing one does not replace the others. When both waivers are required, both must be completed and verified before payment may begin.

The waiver does not itself establish or modify the purchaser's Academy price, refund obligation, payment schedule, automatic-renewal authorization or membership cancellation rights.

8. Facility Rules

Athletes, parents, guardians, coaches and guests must follow all posted CYOJ Hit Lab safety rules, equipment instructions, occupancy limits and reasonable directions from authorized CYOJ Hit Lab personnel.

• Use only authorized areas, cages, technology and equipment.
• Stop using damaged, malfunctioning or unsafe equipment and report it.
• Follow age, supervision and protective-equipment requirements.
• Do not permit unauthorized persons into secured or access-controlled areas.
• Membership cards, QR codes, PINs, key cards and other access credentials are personal and nontransferable unless expressly authorized otherwise.
• After-hours or unstaffed access, if offered, does not mean CYOJ Hit Lab personnel are continuously supervising the facility.
• Keep exterior doors and secured access points closed and do not defeat an access-control system.
• Pick up balls, return equipment, reset the training area and leave the space clean.

CYOJ Hit Lab may stop unsafe activity, restrict equipment, require a person to leave or suspend access for material safety, conduct, security, nonpayment or waiver issues, subject to applicable agreements and law.

9. Privacy & Electronic Records

CYOJ Hit Lab may collect and retain athlete, parent or guardian, emergency-contact, enrollment, waiver, uniform, payment-status, membership, reservation and access information reasonably needed to administer Academy participation and Hit Lab membership.

CYOJ Hit Lab may use third-party providers for payments, forms, communications, hosting, databases and other services reasonably necessary to operate the program.

Electronic records may include agreement versions, acceptance dates and times, payment options, Stripe transaction identifiers, waiver records, member-card information and communications associated with the account.

10. Program & Operational Changes

Tournament dates, practice times, facility-access procedures, technology availability, equipment availability and similar operational details may change as schedules, facilities, programs and circumstances evolve.

Reasonable operational changes do not authorize CYOJ Hit Lab to disregard a specific written financial commitment made to the family or a consumer right required by applicable law.
